1. Who We Are

Pooja Travel & Tours is a trusted and experienced tour operator, registered and incorporated in the United Republic of Tanzania. All our travel adventures and safari packages are organized by Pooja Travel & Tours Company Limited, a fully licensed and compliant company with the following credentials:

2. When These Terms and Conditions Apply

These Terms and Conditions govern the relationship between the Client and Pooja Travel & Tours (hereafter referred to as “the Company”) and apply under the following circumstances:

When you book a trip directly with us.

When you book a trip through our authorized sales representatives or partner agencies.

By booking a tour directly or via our partners, both parties agree to be bound by these Terms and Conditions. These conditions outline the rights and responsibilities of both the Client and the Company during the booking process and throughout the journey in Tanzania.

3. Handling Personal Information

To ensure smooth trip arrangements, we may require your personal details, including but not limited to: full name, age, nationality, passport information, dietary preferences, and any relevant medical information.

This information is shared only with authorized entities such as Tanzanian wildlife authorities (for entry permits) and accommodation providers (to enhance your comfort). We respect your privacy and ensure your data is handled with utmost care and confidentiality.

4. Communication Channels

To safeguard against travel scams and miscommunication, we urge all clients to communicate through our official channels:

We have implemented robust measures to ensure secure communication and to prevent impersonation or fraud. If you suspect any fraudulent activity, immediately report it to us at info@poojatravelstour.com.

5. Booking and Payment

Our booking process begins with an inquiry via email, phone, or WhatsApp. Once a dedicated travel consultant is assigned to you, they will guide you through the entire planning process, including itinerary customization and cost breakdown.

Upon agreement, we issue an invoice for the required deposit, confirming your booking once payment is received.

Full payment is required 14 days before the trip start date, unless otherwise specified.

All payments should be made in full, and clients are responsible for any transaction charges.

A 3.5% surcharge applies to credit card transactions.

Failure to meet payment deadlines without prior arrangements may lead to booking cancellation, and deposit payments may be forfeited as per our cancellation policies.

6. Booking for Minors

Clients must be at least 18 years old to book a tour.

Parents or legal guardians must book on behalf of minors and accept full responsibility for their conduct.

Minors must be accompanied by an adult throughout the trip.

All bookings for minors are subject to approval, and it is the responsibility of the accompanying adult to secure all necessary travel documentation.

7. Pricing

Once a booking is confirmed, the agreed price will remain fixed, except in cases of unforeseen changes in government-imposed fees, taxes, or park levies. In such scenarios, the Client has two options:

Cancel the trip and receive a refund based on our cancellation policies.

Accept the price adjustment and cover the additional charges.

8. Changes to the Itinerary

By the Client:

Modifications are free if they incur no additional costs to the Company. Any extra expenses must be covered by the Client.

If a Client voluntarily discontinues the trip, no refunds will be provided.

By the Company:

While we aim to deliver as planned, adjustments may be necessary due to factors like weather or road conditions. Clients will be notified promptly in such cases.

9. Travel Date Modifications

If you wish to change your travel dates, please inform us at least 60 days in advance. Note that new travel dates must fall within one year of the original booking. Extra costs due to flight or accommodation rescheduling will be the Client’s responsibility.

10. Cancellations

By the Client:

Cancellation fees apply as follows:

$100 per person is non-refundable.

10% for cancellations 90+ days before the tour.

30% for cancellations 60-89 days before the tour.

60% for cancellations 30-59 days before the tour.

80% for cancellations 8-29 days before the tour.

No refund for cancellations within 7 days of the tour.

By the Company:

In the rare event that we cancel your tour, you will receive a full refund of all payments made.

We strongly recommend purchasing travel insurance to cover unexpected cancellations or disruptions.

11. Travel Insurance

Having travel insurance is mandatory for participation in our trips. We may disqualify you from taking part in our adventure without any refunds if you do not have a proper insurance package.

Remember that insurance is not generally included in our travel packages. This service is available as an extra add-on. Such insurance should cover emergency medical expenses for any personal injury, evacuation and repatriation, cancellation and curtailment, and other reasonable expenses.

If you are climbing Mt. Kilimanjaro, your insurance package should cover high-altitude trekking (up to 6,000 m/19,858 ft) and helicopter evacuation. You should also make sure that your insurance package provides sufficient coverage against all other relevant risks. It is also your responsibility to keep your insurance provider sufficiently informed of your travel plans and the nature of hazards and risks involved.

If any insurance case happens, it will be your responsibility to inform your insurance provider and to comply with all procedures relating to indemnification/reimbursement. We shall provide reasonable assistance but shall not be responsible for any positive outcome of the insurance claim whatsoever.

12. Vaccinations

Remember that we provide general, non-medical advice about vaccinations and immunizations, which are required or recommended for your visit to the United Republic of Tanzania.

You should seek professional advice from a practicing, licensed physician to determine whether any specific medical measures are necessary for your visit to Tanzania.

13. Authority of Our Guides

It is important and mandatory to follow all safety instructions and rules of our guides. A chief guide’s decision on all expedition arrangements, team management, itinerary, objectives, and any other expedition-related matters while on a Kilimanjaro trek will be final.

If, in the opinion of our chief guide, your physical condition or certain actions may be reasonably harmful or dangerous to yourself or other tour participants, the chief guide may decide that you should descend (an assistant guide and porters will assist you on the way).

14. You Accept All Risks of Adventure Travel to Tanzania

You understand that your adventures with us may involve visiting remote areas (National Parks, rural regions, etc.), where the standards of medical assistance may differ from those available in your home country or may be unavailable altogether.

Additionally, you acknowledge that some adventures offered by us may involve certain risks (e.g., wildlife encounters, high-altitude trekking) to your health and safety. You agree that you have carefully evaluated all of those risks and assume full responsibility for them.

You release us from all claims and causes of action, which may arise from any losses, damages, injuries, or death that may result from the inherent risks of your travels in Tanzania.

15. Your Liability for Damaged or Destroyed Property

We will charge you if you willfully destroy or damage our property, for example, Kilimanjaro tents, safari vehicles, personal expedition gear that you may hire from us, hotel furniture, items, and appliances, and so on.

Any indemnification for damage or destruction should be settled in Tanzania before your departure to your home country.

16.Images and Marketing

You understand that our employees and other tour participants may take photos, videos, and other media images during our tours. These photos and videos may include your image.

By taking part in our adventures, you agree that we and our partners may use this media material for marketing, promotion, and advertising without any royalty or other payments to you. Please inform our staff if you do not want your image to be captured with any photo or video cameras.

17. The Laws of Tanzania Shall Apply

The laws of the United Republic of Tanzania shall apply in case of any disputes.
